Complete and archive an event
Close out the work while preserving the records you need.
Review the outcome
Before completion, review outstanding tasks, attendance, vendor payments, final costs and live issues. Open the event report or Closeout to review the draft and any outstanding checks. If the report needs a new revision, create it and refresh the draft before reviewing again.
Complete the event
Use the event completion action when you have permission. Read any closeout warnings and resolve the issues or follow the offered acknowledgement flow deliberately. Completion records the lifecycle state; it does not prove that every financial entry is correct.
Finalize the closeout report
- Open Reports & analytics and the closeout queue for your completed event.
- Choose Generate report when the event is ready, then Review report.
- Read the findings and choose Review and finalize.
- Resolve warnings or acknowledge them deliberately when the confirmation offers that option. Choose Finalize reports.
- Choose Open full report to inspect the finalized snapshot. Later source changes do not silently rewrite that snapshot.
Archive to keep history
Use Archive when the event should leave active planning but remain available as history. Read the warning about event-only members and any active public report link. If offered, explicitly choose whether to retain or revoke that link.
Delete only when removal is intended
Delete event removes the event and its tasks, guests, vendors, files, Run of Show and access records. The confirmation offers archiving instead when you can archive. Do not assume there is an undo or recovery option after deletion.
Reuse the structure
Use Duplicate event or, for a completed event where permitted, Save as template. Review the proposed content before saving. Check dates, owners and client information in the new event; reusable structure is not a reason to carry old attendee data into a different event.
