Build a Run of Show
Create the timed sequence your team will follow during the event.
Add the cues
Open Run of Show for the event. Add a cue with a clear title, start time, end time and responsible person. Choose the correct event day. Add the location and operational notes the team needs. A cue is an activity on the event schedule; it is not a substitute for a preparation task.
Review the sequence
Check gaps, overlaps and short turnarounds. Use Insert 15-minute buffer after when appropriate, then review later timings. For simultaneous cues, confirm that owners and locations can support the overlap.
Prepare the handoff
Review the schedule with the team and resolve timing questions before the event. Where approvals are available, check which revision is approved. Print or save PDF from the schedule actions when you need a reference copy. Printed copies do not update when the live schedule changes.
Changes during the event
Use Edit cue for a specific correction. Shift this cue or Shift this and later cues when timing changes affect a larger part of the schedule. Review the scope and resulting times before applying a shift. Communicate the change to affected owners.
